Office Supervisor

**Career Area**:Administrative Support**:
- Serving as a point of contact to building management and facility management vendors
- Ensuring that office facility complies with applicable government regulations
- Leading the safety and security of the new FPD office facility
- Developing the safety and security policies to comply with Caterpillar standards and prevailing regulations
- Ensuring the duties of frontline team members (office assistant and messengers) and driver meet the needs of the organization
- Submitting and reconciling expense reports of the frontline team members
- Supporting general affairs and employee inquiries on travel agency appointed by Caterpillar
- Creating and processing PO based on organizational needs, and ensuring all items are invoiced and paid on time
- Organizing the office layout and maintaining the office condition and cleanliness to be fit as a proper workplace in accordance with Caterpillar standards
- Scheduling any necessary and/or regular maintenance, cleaning, and repairs in the office facility, and addressing employee queries on any office management issues
- Ensuring all office supplies, stationery, furniture, and equipment are always available when needed and well maintained
- Liaising with related team members on sourcing, managing contract, and price negotiation with facility management vendors, service providers, and other related parties as needed
- Managing company car record and administration process, such as insurance and vehicle registration, and supporting company car recovery if user is leaving the company
- Providing general supports to external and internal parties who visit the office
- Maintaining and ensuring that employee and visitor badges to access the workplace are well recorded and stored physically and electronically
- Maintaining and ensuring employee and visitor logbooks to be always available and up to date
- Partnering with HR Consultant to maintain and update workplace policies as necessary
- Partnering with HR Consultant on the on-boarding process to ensure that new hire logistics are prepared and delivered to the new hire
- Partnering with HR Consultant on the off-boarding process to ensure that all office assets and logistics of the leaver are returned to the company by the last day of work
- Coordinating with IT, Finance, and HR departments to inventory all office assets to keep them current
- Partnering with employees on any social and employee events
- Other office administration work as needed
Background/Experience: The position typically requires a college or university degree or equivalent experience. Good human relations and effective communications skills are required to develop a cooperative work relationship with others inside and outside of department. The ability to maintain confidentiality is essential.
