You'll support consultancy operations by handling client onboarding, milestone tracking, lesson documentation, and communications across internal and external teams.You'll work closely with consultants, tutors, and our operations team to ensure that every step of the student journey from enquiry to enrolment to academic and admissions guidance is executed with excellence.Job DutiesClient Enquiry & OnboardingRespond to new client enquiries with professionalism and accuracy.Guide clients through onboarding, ensuring all required information is collected and updated in Airtable.Create and maintain client profiles in Airtable and Notion to track milestones, lessons, and administrative details.Invoice Clients and issue receiptsCurriculum & Milestone CurationWork with tutors and consultants to curate monthly academic and application milestones.Update milestone progress in Airtable and Notion for internal visibility.Share curated milestone updates with students and parents in a clear, professional format.Lesson Documentation & ReportingEnsure each lesson has documented summaries, transcripts, or key learning points in Google Docs.Tag and organize content in Airtable and Notion for easy reference.Compile regular progress reports (weekly/monthly) for parents.Communication & CoordinationDraft and send professional update emails to parents regarding progress, milestones, and scheduling.Manage Google Calendar invites for lessons, meetings, and reviews.Support outreach by drafting professional materials for partners and collaborators.Obtain and manage regular feedback from students, mentors, parents and partners. Act on feedback to improve servicesOperations & Systems ManagementEnsure Whatsapp business, Google Drive Folders, Airtable and Notion databases are regularly updated and optimized.Able to innovate and improve on processesResolve data inconsistencies and recommend process improvements.Act as liaison between consultants, students, parents, and partners to ensure seamless operations.Job RequirementsPreferably >2 years experience in related industriesGood command of written and spoken English. Chinese will be a bonus.Good communication and interpersonal skillsStrong research and analytical skillsKeen eye for detailGood attitude to learn and improveStrong time management and organisation skillsTask oriented, conscientious in task documentationStrong sense of responsibility in fulfilling tasks well and in accordance with deadlinesAbility to work independently and as a teamKnowledge of general business software and aptitude to learn new applications; proficiency in Microsoft Office (Word, Excel, Outlook), Notion, Airtable and Google Suite.Ability to use Google Gemini and AI to translate reports to Chinese is a bonus as we have Chinese clients as wellAdditional DetailsWorking Hours: 10am-7pm, 4 Weekday and 1 Weekend, RemoteSalary: SGD $350 per month.
