The Program Manager plays a central role in bridging field operations, project management, and sponsor communications. This position ensures that projects are executed in alignment with contractual obligations, organizational policies, and donor expectations. The Program Manager leads sponsor-facing communications, milestone validation, reporting coordination, and institutional learning processes. They also contribute to the development of new projects and proposals in collaboration with leadership and fundraising teams

Key Responsibilities

Sponsor Engagement & Communications

  • Serve as the primary operational link with sponsors throughout the project lifecycle.
  • Lead regular sponsor meetings and ensure consistent, coordinated messaging across all communication channels.
  • Communicate project variances and collaborate with sponsors on resolution strategies.

Project Oversight & Milestone Management

  • Facilitate handover of project orders to Project Management and Operations and ensure clarity of sponsor goals, sensitivities, and contractual details.
  • Oversee project operations, milestone validation and reporting in coordination with Project Managers and Field Operations.
  • Trigger invoicing workflows and coordinate with Finance Admin on payment status and budget tracking.

Reporting & Systems Integration

  • Oversee sponsor-facing reporting using in house data collection systems and data inputs.
  • Support development and use of donor portals for real-time sponsor access to project progress, reports, and media.
  • Ensure data accuracy and timeliness across data collection systems and financial systems.

Compliance & Grievance Redress

  • Collaborate with the Legal Department to review contracts and define compliance safeguards.
  • Oversee grievance redress system, including multi-channel intake, case assignment, and resolution tracking.
  • Ensure alignment with organizational, sponsor, and regulatory policies.

Institutional Learning & SOP Development

  • Lead project wrap-up processes, compiling lessons learned and improvement ideas.
  • Facilitate debrief meetings and submit recommendations to Technical Services for SOP updates.
  • Promote continuous improvement and knowledge sharing across teams.

Strategic Development & Proposal Support

  • Support the Director in developing new projects, regional initiatives, and strategic partnerships.
  • Collaborate with Fundraising and Project Development teams to ensure new proposals are technically sound, operationally feasible, and aligned with sponsor expectations.Strategic Leadership & Revenue Growth

Qualification

  1. Minimum 5 years of experience in program or project management, preferably in nonprofit or donor-funded environments.
  2. Degree in Forestry or related sciences with project management experience.
  3. Strong understanding of contract management, sponsor relations, and milestone-based reporting.
  4. Fluent written and spoken communication skills in English and Bahasa Indonesia.
  5. Familiarity with financial tracking systems, project lifecycle tools, and donor reporting platforms.
  6. Experience working with international donors or corporate sponsors is highly desirable

Working Conditions

  • Based in Semarang with approximately 30-50% travel to field sites across Indonesia.
  • Collaborative, mission-driven work environment with cross-functional teams.
  • Reports to the Director and works closely with Project Managers, Finance, Legal, and Technical Services
